
EXHIBITOR RULES & REGULATIONS
All exhibitors are to abide by the rules & regulations of the Penang International Science Fair 2019 as set by the Organizer. Any party including the sub-contractor found breaching any of the rules & regulations will be penalized at the discretion of the Organizer including termination of agreement and/or participation in the event without any refund.
- All exhibitors are required to produce their respective company identification for verification to gain entry to the exhibition hall during the non-official opening time.
- Each exhibitor will only be allowed to have a maximum of five (05) personnel per 9 sqm of booth area agreed at each time during the official opening time. The Organizer reserves the right to request any personnel of the exhibitors found conducting any form of activities at the respective booth to produce their company identification during the official opening time.
- All exhibitors (with Shell Scheme/appointed non-Official Contractor) are required to complete the Shell Scheme/Raw Space Formand submit to the Official Contractor.
- All exhibitors will be provided with respective items according to their agreed booth as per Booth Layout & Details Form. Any exhibitors who wish to order additional items are required to apply by filling the Additional Items Form.
- Any exhibitors who wish to remove any panels of their standard shell scheme booth are required to apply by filling the Shell Scheme Panel Removal Form.
- All exhibitors with a standard shell scheme booth are strictly prohibited from using nail, staple gun and/or glue on the white laminated panels, aluminium structures and reception tables. Any damage to the laminated panels will be charged to the exhibitors at RM100.00 per piece. Other items will also be charged accordingly.
- All power points provided are meant for non-lighting purposes only. Usage of such points for any lighting purposes will incur a charge for lighting connection.
- All lighting connection is charged accordingly to the number of tubes or bulbs lighted on the stand. Exhibitors are encouraged to use bulbs of higher wattage (maximum 100 watt per bulb/tube) wherever possible.
- Lighting connection for LED bulb is maximum for 2 bulbs/tubes per connection and LED strip is max. 2m length per connection.
- Without any exception, exhibitors including those who provide their own lighting fixtures will be charged the lighting connection fee accordingly.
- Own light fitting must include wirings and terminate at one point for connection by Official Contractor. All lighting connection works must be done by Official Contractor only.
- A power point socket must be used for one (01) exhibit only at a time. Multi-point connection is strictly prohibited to prevent the risk of power overload.
- Exhibitor whose lighting fixtures / electrical appliances / machines / etc are bound to have been the cause of trips in power supply will be responsible for all re-energisation charges if any.
- All electrical installations must conform strictly to the required safety regulations without exception.
- A surcharge is applicable for electrical equipment that requires 24-hours operating services.
- All exhibitors including the appointed non-Official Contractor (if any) are required to follow strictly the set-up and dismantle schedule failing which, the Organizer reserves the right to stop all work.
- Any exhibits and decorative items left behind after the stipulated time will be deemed as items for disposals and will be disposed off accordingly without further notice. The Organizer reserves the right to penalize any exhibitors who left behind any of the above items which is deemed as rubbish.
- All loading and unloading works must be done through the designated Loading/Unloading Bay of the exhibition venue.
- All exhibitors with special design booths must submit their drawings to the Events Manager for approval before deadline. Maximum height for any structure in the concourse is TWO AND HALF (2.5) metres and in the arena is FIVE (05) metres. All designs should have 60% visibility from all angles. All designs with any backdrop/wall/partition should be built with a clearance of one (01) metre distance away from the edge of the booths. The ‘airspace’ of adjacent booths is NOT to be used by exhibitors without prior approval from the Organizer. No items should be placed out of the booth area at all times, failing which will be removed by the Organizer without prior notice and the charges will be billed to the exhibitor involved.
- Usage of audio system in the booth area is subject to approval by the Organizer. Any other items with audio capability are required to keep the noise level below 60dB (Decibel).
- All exhibitors are not allowed to conduct any form of activities outside of their booth area. Any exhibitors found breaching this clause will be penalized by the Organizer.
- The Organizer and/or Events Manager will not be responsible and be held liable for any loss, damage and/or stolen items belonging to the exhibitors. As such, all exhibitors are to be responsible for all their items in their booths.
- All exhibitors are advised to arrange their own relevant insurances to cover their exhibits throughout all stages of the exhibition. Exhibitors will be held responsible for the loss of, damage or injury to property (including those belonging to other exhibitor or persons) caused by themselves, their employees or agents.
- All exhibitors are required to keep their booth and the surrounding clean and neat at all times. All rubbish must be disposed off at proper disposal areas.
- The Organizer appreciates and encourages the use of the ‘correct’ Penang International Science Fair 2019 logo to ensure ‘brand’ recognition at the event at the event to achieve the common objective of attracting more visitors. As such, if you need any copies of the Penang International Science Fair 2019 logo, please contact the Organizer.
- The Organizer wishes to remind the exhibitors who wish to offer goods and/or services on cheap sale (if any), to obtain approval from relevant authorities.
- The Organizer is against any infringement of copyright laws at all times. Exhibitors must ensure that all DVDs/CDs must be legal and where applicable approved by relevant authorities.
- Any exhibitors who wish to install temporary telephone line(s) at the exhibition sites may contact the relevant authorities directly.
- By participating in this event, all exhibitors agreed to abide by all the rules and regulations of the exhibition.
